To-Dos, Reminders, and Templates
The timeline is the centerpiece, but events also need task management, proactive reminders, and reusable structures. Pro Planner handles all three.
To-do list
In your dashboard, click "To-Do List" in the sidebar. You can create standalone to-dos or link them to specific clients and timelines.
Each event type has a starter template — select "Wedding" and you'll get a pre-built to-do list with items like "Book photographer," "Order flowers," "Confirm catering menu," etc. Edit, add, or remove items as needed.
To-dos linked to a timeline appear grouped under that timeline in your dashboard, giving you a single view of both the schedule and the task list.
Text reminders
Automated SMS reminders notify vendors and team members before their assigned timeline items. Set up contacts for a timeline, then assign reminders to specific items.
Each reminder sends a text message at a time you choose (e.g., 1 hour before, 1 day before) to the assigned contacts. The message includes the item time, task name, and any description.
Contacts can opt out at any time by replying STOP. You manage contacts from the editor's Reminders section.
Saving as a template
If you run similar events repeatedly — weekly corporate lunches, seasonal galas, recurring workshops — save the timeline structure as a template.
In the editor, use the Save dropdown and click "Save as Template." Give it a name and optional description. The template appears in your dashboard under "My Templates."
Next time you create a timeline for a similar event, start from your saved template instead of rebuilding from scratch. The template loads all items and structure; just update the dates and details.
That's the Pro Planner workflow
