Audience-Filtered Sharing

Not everyone at your event needs to see the full timeline. Audience-filtered sharing lets you show different parts of your schedule to different people — vendors see only their items, a coordinator sees the setup and breakdown, and the couple sees the ceremony flow.

How audiences work

Audiences are automatically derived from your timeline. Every vendor assigned to an item and every contact added in the editor becomes an available audience. There's nothing extra to configure — if you've assigned vendors or added contacts, audiences are already set up.

Previewing as an audience

In the editor, look for the "View as" dropdown above your timeline items (Pro only). Select an audience — for example, "DJ Smith" — and the timeline dims all items not assigned to that person. You'll see a banner showing how many items are visible (e.g., "3 of 12 items visible") along with a share link for that specific view.

This is the exact view the recipient will see when they open the link. Use it to verify you haven't missed any items before sharing.

Sharing audience-specific links

Click "Copy Share Link" in the preview banner to copy a URL like eventrundown.com/v/your-timeline?audience=vendor_abc. Send this link to the vendor or contact. When they open it, they see only the items tagged for them — nothing else.

You can also find per-vendor share links in the Share drawer (editor) and the timeline's share panel (dashboard).

Audience notes

For Pro users, each timeline item can have audience-specific notes. Expand an item, select a vendor, and add a note visible only to that audience. For example, "Load in via the east entrance — ask for Mike at the dock." The vendor sees this note on their filtered view; other audiences don't.
