Using Timeline Blocks

Timeline blocks are pre-built sequences of items you can drop into your timeline in one click. Instead of manually adding "Registration," "Badge Pickup," "AV Check," and "Welcome Refreshments" one by one, you select the "Registration & Check-In" block, set a start time, and all four items appear instantly with realistic descriptions and spacing.

How to add a block

  1. In the editor, click the Blocks button in the toolbar (the grid icon next to "Add Event")
  2. Browse blocks by category: Wedding, Corporate, or Party
  3. Click the block you want
  4. Set a start time — all items in the block will be scheduled relative to this time
  5. Choose how to handle existing items:
    • Insert alongside — adds the block without moving anything
    • Shift existing items — pushes overlapping items later to make room
  6. Click Add Block

The new items appear in your timeline highlighted briefly so you can see exactly what was added.

Available blocks

Each category has 2 free blocks and additional Pro blocks:

Wedding (12 blocks)

  • Getting Ready (free) — hair, makeup, getting dressed, detail photos. This is a smart block: set the number of people needing hair & makeup and it calculates parallel stylist schedules
  • Ceremony (free) — pre-ceremony seating, processional, vows, recessional
  • Pre-Ceremony Photos, Cocktail Hour, Reception Entrance, Dinner & Toasts, Dancing & Party, Exit & Send-Off, Vendor Setup & Load-In, Rehearsal Dinner, Welcome Event, Farewell Brunch (Pro)

Corporate (10 blocks)

  • Registration & Check-In (free) — badge pickup, AV check, welcome refreshments
  • Keynote Session (free) — host introduction, presentation, Q&A, transition
  • Breakout Sessions (smart: set the number of rooms), Panel Discussion (smart: set the number of panelists), Award Ceremony, Networking Reception, Workshop / Training, Lunch & Meal Service, Conference Wrap-Up, Team Building Activity (Pro)

Party (8 blocks)

  • Guest Arrival & Welcome (free) — door greeting, welcome drinks, transition
  • Dinner Service (free) — courses, host remarks, dessert
  • DJ & Dance Floor, Entertainment & Games, Cake & Dessert, Photo Booth & Stations, Gifts & Toasts, Setup & Teardown (Pro)

Smart blocks

Some blocks have a parameter that changes what gets generated. When you select a smart block, you'll see a slider in the configuration step:

  • Getting Ready — "How many people need hair & makeup?" (1-12). The block schedules parallel hair and makeup tracks so the bride goes last for the freshest look
  • Breakout Sessions — "How many breakout rooms?" (2-8). Each room gets a facilitator assignment in the breakdown
  • Panel Discussion — "How many panelists?" (2-6). Each panelist gets opening remarks, followed by moderated discussion and audience Q&A

Pro breakdowns

Pro users see detailed sub-schedules inside certain blocks. For example, the Ceremony block includes a minute-by-minute breakdown: processional, bridal party entrance, bride's entrance, readings, vows, ring exchange, and pronouncement — each with the person or vendor responsible.

These breakdowns are especially useful for coordinating with vendors. You can share audience-filtered links so each vendor sees only the items relevant to them.

Editing after insertion

Block items are regular timeline items once inserted. You can edit times, rename tasks, add descriptions, delete items you don't need, or drag them to reorder. The block just gives you a fast starting point.

Tips

  • Use blocks as building blocks for a full timeline — add a Registration block, then a Keynote block, then Breakout Sessions, and you've scaffolded a conference in 30 seconds
  • The "Shift existing items" option is useful when inserting a block into the middle of an existing timeline
  • Smart blocks save the most time — the Getting Ready block with a party of 8 generates a full parallel hair & makeup schedule that would take 10 minutes to build manually
