Corporate Event Planning Timeline Guide
Corporate events have higher stakes than personal ones. Attendees expect professionalism, sponsors expect ROI, and your boss expects everything to run on time. A detailed timeline is non-negotiable.
Types of Corporate Event Timelines
- Conference / Summit — Multi-track sessions, keynotes, breakout rooms, networking breaks, expo hall hours.
- Team Offsite / Retreat — Team-building activities, workshops, meals, free time blocks.
- Product Launch — Setup, rehearsal, press check-in, presentation, demo stations, reception.
- Holiday Party / Gala — Arrivals, cocktails, dinner, entertainment, awards, dancing.
Key Elements of a Corporate Timeline
- Registration / Check-in — Always start 30-60 minutes before the first session. People are late.
- Breaks every 90 minutes — Nobody can sit through 3 hours straight. Schedule 15-minute breaks between sessions.
- Meal buffers — Lunch needs 60-75 minutes minimum. People use this time to network.
- AV setup time — Build in 15 minutes between speakers for mic checks and slide loading.
- Networking blocks — Don't fill every minute. "Hallway conversations" are where real business happens.

Sharing with Stakeholders
Corporate timelines need to reach many people: speakers, AV teams, catering, venue staff, attendees. Export as a branded PDF with your company logo, or share a link that anyone can view on their phone. See our guide on sharing timelines with vendors for best practices. Planning a team building day?
